We Love This is a creative experiential event agency, designing, building and delivering live experiences to bring brands and products to life, engaging and influencing audiences. Providing end to end project management , the company works across multiple design disciplines to build exciting and coherent visual content on behalf of the UK`s leading brands and retailers, as well as national festivals and events.

Identifying the issues

When the team from PCM Systems was first called in by We Love This, the company had already identified some significant issues with their IT provision. Pre COVID, We Love This worked in their own offices with a dedicated server. Post COVID, the business had adopted a hybrid working solution using a shared workspace for part of the week, moving from their own server to SharePoint online.

With all relevant marketing data and images on SharePoint, the data was not syncing well. Although the core data was not so significant in terms of volume, changes and revisions to projects meant that free storage space was not sufficient and additional capacity was costing money.

'We were working with an existing IT company for advice and support,” explained Catherine. “Unfortunately, we found ourselves communicating with the salespeople rather than the people who understood our business and our issues. We needed an IT support company with a real understanding of exactly what we needed and how we could achieve that quickly and cost effectively.'

Introducing relevant tech solutions

Catherine had worked with PCM Systems with a previous employer, and called in the team to discuss the way forward. Specific to We Love This was the need to be able to access archived jobs quickly and easily, without these taking up space on the SharePoint system. Alongside this, the company was looking to achieve improved housekeeping from an IT perspective, with optimum business continuity in place.

Following initial discussions, PCM proposed a working solution to restructure SharePoint, making sure all the relevant data was exactly where it needed to be, then shifting some content to enable revisions to be kept in check. This involved implementing a network storage device enabling any projects older than two years to be moved away from SharePoint, reducing the demands on data storage.

'The design team operates a hybrid system working on Macs,” explained Lukasz Kisala for PCM. “Individual projects involve some very large files which require good housekeeping to be in place to avoid running out of storage space. Our solution enables We Love This to work freely with existing and archived materials without having to invest in additional storage space. Alongside this, we were able to advise on how they could reduce costs in terms of licences and also provide enhanced security for data, going forward.'

The new system in operation

It was a seamless transition, and We Love This have been very pleased with the results. “PCM completely understood our issues and requirements, and proposed valid and affordable solutions,” said Catherine. “This team doesn`t upsell, they just make it work, with better service than we have ever experienced before. Our contacts are knowledgeable and super-approachable. Testament to the work and the ongoing IT support they are providing is that we have not experienced any IT issues since their initial involvement in our business.”
